The problem

Safety lives in many places at once.

Most sites run safety on paper registers, spreadsheets and group chats. Each works on its own; together they leave gaps nobody chose.

Near misses go unsaidA worker sees a loose guard but has no quick way to say so in their own language.
Permits live on paperApprovals, gas tests and closure sit in a book at one desk while the crew is at the far end of the site.
Contractor crews start fresh each visitInductions and certificates are checked again by hand, every time.
Actions wait in inboxesAudit and investigation actions are agreed, then lose their owner.
A day on site

One day, step by step.

What happens on a site from the first shift to the evening, and who gains at each step. Every screen below is an Example.

07:30

Crews arrive

Who acts: SecurityContractor supervisor

The contractor crew comes through the turnstile. Teamnet checks each person's induction and certificates against the work they are here for; anyone whose induction has lapsed is shown to the supervisor to take it on the app before starting.

  • Who gains
  • ContractorYour crew starts without delay, with records that travel with them.
  • Safety officerEvery person inside has a current induction on record.
  • SecurityThe gate shows who is cleared for which work.
08:15

Permit to work

Who acts: Contractor supervisorArea headMaintenance

The contractor supervisor raises a hot work permit on the app. It goes to the area head, then maintenance for isolation, then final approval. Security sees the approved permit when the crew enters the area.

  • Who gains
  • ContractorOne request, approvals in one place, no walking between desks.
  • Area headYou approve what happens in your area, from your phone.
  • MaintenanceIsolations are on the permit, not in a separate book.
11:05

A near miss

Who acts: WorkerSafety officer

A forklift reverses close to a walkway. A worker reports it with a photo in Hindi. The safety officer sees it at once, gives it an owner and a date.

  • Who gains
  • Employees and workersSay it once, in your language, and see what happened next.
  • Safety officerReports reach you while they are fresh.
  • Area headEach action has an owner and a date.
14:20

An incident and its investigation

Who acts: Safety officerFactory manager

A minor hand injury in assembly. First aid is recorded, the investigation is opened, causes and actions are agreed, and anything the law needs reported is listed with its due date.

  • Who gains
  • EmployeeCare first, then a record that protects you.
  • Safety officerInvestigation, actions and notices in one record.
  • Factory managerEvery notice decision is on record with its reason.
16:00

Chemicals and the area audit

Who acts: StoresSafety officer

Stores receive a new solvent. Its safety data sheet is attached before it is issued. The monthly area audit closes two findings with photos.

  • Who gains
  • StoresNothing is issued without its data sheet.
  • Safety officerAudit actions close with evidence, not memory.
18:00

Work ends

Who acts: Contractor supervisorSecurity

The supervisor closes the permit when the work ends; the gate entry for the crew closes with it. At any moment, the headcount of who is inside comes from the gate - the list used in an emergency.

  • Who gains
  • SecurityEntries close with the permit.
  • Site headIn an emergency, the list of who is inside is ready.
Month end

Committee and returns

Who acts: Site headEnvironment officer

The safety committee meets with its minutes and open actions on record. Waste, emissions and water figures are collected for the returns that fall due.

  • Who gains
  • Site headWhat is done and what is open, in one view.
  • Environment officerFigures collected through the month, not at the deadline.

What the law asks

The employer's safety duties, in plain words.

In India, the Occupational Safety, Health and Working Conditions Code, 2020 sets these duties; the labour codes are in force from 21 November 2025. The Code replaced the Factories Act, 1948.

DutyWhat the law saysWhat Teamnet keeps
Duties of the employerOSH Code, section 6Keep the workplace free from hazards and the working environment safe, provide the prescribed annual health examination free of cost, dispose of hazardous and toxic waste, and answer for the safety and health of employees, workers and others on the premises.Risk assessments, inductions, training, audits and waste records, per person and area.
Disclosure in a hazardous processOSH Code, section 84The occupier of a factory involving a hazardous process must disclose its dangers and the measures to overcome them to workers, the Inspector-cum-Facilitator, the local authority and the public nearby, and draw up an on-site emergency plan.Chemical records with safety data sheets, the emergency plan, and the live list of who is inside.
Occupier's responsibility in a hazardous processOSH Code, section 85Keep up-to-date health records of workers exposed to harmful substances, appoint qualified persons to supervise their handling, and have each worker medically examined before the job and at intervals of not more than twelve months. The people assigned to hazardous work and their medical examinations, with due dates.
Safety committee and safety officersOSH Code, section 22A safety committee where the government requires one, with at least as many worker representatives as employer representatives. Safety officers in a factory of five hundred workers or more, or two hundred and fifty or more where there is a hazardous process.Committee members, meetings, minutes and agreed actions; who holds the safety officer role.
Notice of accidents and dangerous occurrencesOSH Code, sections 10 and 11An accident causing death, or an injury that keeps a person from work for forty-eight hours or more, and any prescribed dangerous occurrence, must be notified to the authorities in the form and time the rules set. Each incident, the notice decision and its reason, and the date sent.
Employees' duty to report and right to warnOSH Code, sections 13, 14 and 89Employees report unsafe situations; they have the right to information on their health and safety, and to bring imminent danger to the employer's notice, directly or through the safety committee, and to the Inspector-cum-Facilitator.Reports from any employee or worker on the app, and what was done about each.
Hazardous wasteHazardous and Other Wastes Rules, 2016An occupier generating hazardous waste keeps records of it and files an annual return with the State Pollution Control Board.Waste quantities by category through the year, ready for the return.

State rules set the detail - forms, time limits and which factories. Teamnet's legal register follows the rules for your state. Read the law: OSH Code factsheet (PIB), Labour codes in force (PIB), Compliance handbook for employers under the four labour codes (Ministry of Labour and Employment).

One Teamnet

Already on Teamnet Workforce? EHS joins it.

Teamnet EHS works on its own. With Teamnet Workforce, your employees and contract workers, their attendance, inductions, certificates and who is on site today feed safety directly - nothing is typed twice. One app for every Teamnet product, with one login - free for employees and workers. Connected when you want them to be - each product also works on its own.

A valid permit, induction or PPE is checked at the Teamnet-made dual-lane full-height turnstile, and the emergency headcount comes from who passed it.

  • What connects
  • On the Teamnet appHazard reports, inductions, permits and the emergency headcount, for everyone on site.
  • With Teamnet WorkforceAttendance, inductions and certificates come across - nothing typed twice.

Questions

What site heads ask us.

We already have a paper permit system. Do we have to change it all at once?

No. Most sites start with hazard reporting and permits to work in one area, then add incidents, audits, chemicals and environment. Your existing permit types and approval steps are set up as they are.

Our contract workers do not all have smartphones. Can they still report?

A supervisor or safety officer can report on someone's behalf, and the report records who raised it. Workers with the Teamnet app report in their own language.

Does it cover a factory with a hazardous process?

Yes. The legal register lists the duties for a hazardous-process factory - disclosure, health records, medical examinations and the safety committee - and keeps each on record with its due date.

Do we need Teamnet Workforce to use Teamnet EHS?

No, EHS works on its own. With Workforce, attendance, inductions and who is on site come across directly, so nothing is typed twice.

Can it handle more than one site?

Yes. Each site has its own registers and permits, and leadership sees all sites in one view.

Where is our data kept?

On Teamnet Cloud, hosted in Europe, with each company's data kept separate.

What about environment returns?

Waste, emissions and water are recorded through the month and the year, so figures for your consents and annual returns are ready when they fall due.
